Meeting content

Audio, transcripts, summaries, participant names and voices, and chat questions and answers are processed and stored in the customer’s environment. In Professional, AI runs on the workstation GPU and the archive stays on the workstation. In Enterprise, AI, models and the database run on a server in the customer’s local network. Riole does not receive, store or have access to this content.

The customer is therefore the controller of this content under Brazil’s LGPD and similar laws: it defines the purpose, legal basis, notice to participants and retention periods. Identifying speakers by voice may involve biometric data, which is sensitive personal data; the appropriate legal basis and notice to participants are the customer’s responsibility.

What the application sends over the internet

Only what the license and the model downloads need. No recording, transcript, summary or participant name is sent. The disk serial number identifies the equipment, not the person using it.

In Enterprise, the application also connects, inside the local network, to the archive database and the central processing server.

What the website collects

• Trial, proposal and purchase forms: name, email, country, organization (optional), number of workstations, message (optional), language and what you requested.
• Visit source, when you arrive from an ad or campaign link: UTM parameters, landing page and the Google click identifier (gclid, gbraid or wbraid).
• Subscription: PayPal subscription identifier, email, status, payment dates and amounts. Card and bank details are handled by PayPal; we do not receive them.
• Bot protection: Cloudflare Turnstile checks form submissions using your IP address and browser signals.
• In your browser: your ad cookie choice (local storage) and the campaign source during the visit (session storage).

Why we use it

• To answer your request and send the trial key, license or proposal (pre-contractual steps and contract performance).
• To bill and manage the subscription (contract performance and legal obligations).
• To protect the forms against abuse and measure which campaigns bring requests (legitimate interest).
• To measure Google ads with cookies, only after you click Allow (consent).

Cookies and ads

The Google Ads tag loads with every consent denied. Ad cookies are stored only if you click Allow in the site notice; otherwise Google receives only cookieless signals. You can change your choice by clearing the site data in your browser.

Who we share it with

Cloudflare (website hosting, database and email sending), PayPal (payments) and Google (ad measurement, according to your consent). These providers may process data outside Brazil under the safeguards they offer. We do not sell personal data.

How long we keep it

For as long as needed to handle your request, keep the history of the business relationship and meet legal obligations such as tax rules. You can ask us to delete it sooner, except where the law requires us to keep it.

Your rights

You can ask for confirmation of processing, access, correction, anonymization, portability, deletion, information about sharing and withdrawal of consent. Write to [email protected]. You may also complain to Brazil’s data protection authority (ANPD) or the authority in your country.

Changes to this policy

When this policy changes, the version date at the top of the page changes too.
